Privacy Policy

This Privacy Policy explains what information GlowRep collects, how we use it, who we share it with, and the choices you have. We try to keep it plain-spoken. If anything here is unclear, email us at hello@glowrep.io.
1. Who we are
GlowRep ("GlowRep", "we", "us", or "our") is an online reputation and review-management service for local and home-services businesses, available at glowrep.io. GlowRep is operated by Terence Falvey. This policy applies to the GlowRep website, dashboard, and related email and messaging features (together, the "Service").
For privacy purposes, GlowRep acts as a controller of the information about your account and your use of the Service, and as a processor of the contact lists you upload to run review-request and referral campaigns (see Section 6).
2. Information we collect
Account information
When you sign up, we collect your email address. GlowRep uses passwordless "magic link" sign-in, so we do not collect or store passwords. We also store your plan, sign-in tokens, and basic account settings.
Business profile information
To analyze your reputation, you give us details about your business, such as its name, location, category, and the public review profiles you want us to monitor (for example, your Google Business Profile).
Review and reputation data
We collect and analyze publicly available reviews and ratings about the businesses you add to GlowRep, along with the AI-generated analysis and draft replies we produce from that data. This information is already public on the source platforms; GlowRep organizes and interprets it for you.
Campaign contact data
If you use review-request or referral campaigns, you may upload contact lists (such as customer names, email addresses, and—where supported—phone numbers). We process this data on your behalf to send the messages you configure. You are responsible for having the right to contact these people (see Section 6).
Payment information
Paid plans are billed through Stripe. When you upgrade, your card details are collected and processed directly by Stripe on its hosted checkout page. GlowRep never sees or stores your full card number. We receive limited billing metadata from Stripe, such as your subscription status, plan, billing term, and a customer identifier.
Usage and technical data
Like most web services, our infrastructure automatically logs technical information such as IP address, browser type, request timestamps, and pages or actions within the dashboard. We use this to operate, secure, and improve the Service.
3. How we use information
We use the information described above to:
- provide, maintain, and operate the Service, including signing you in and showing your reputation analysis and draft replies;
- generate AI-assisted review analysis and reply drafts;
- send the email and (where offered) SMS campaigns you set up, and deliver transactional messages such as sign-in links and new-review or monthly-recap alerts;
- process payments, manage subscriptions, and prevent billing fraud;
- respond to support requests and communicate with you about your account;
- monitor, secure, debug, and improve the Service; and
- comply with legal obligations and enforce our Terms of Service.
We do not sell your personal information, and we do not use your business or campaign data to advertise to you or to third parties.
4. AI processing
GlowRep uses third-party artificial-intelligence providers to analyze reviews and generate draft replies and campaign copy. The relevant text (such as review content and the business context you provide) is sent to these providers solely to produce results for you. We work with providers that, under our agreements with them, do not use your content to train their general models. AI-generated drafts are suggestions—you remain responsible for reviewing anything before you post or send it.
5. Sharing & service providers
We share information only as needed to run GlowRep. We use the following categories of service providers ("subprocessors"):

We may also disclose information (a) to comply with the law or valid legal requests, (b) to protect the rights, safety, or property of GlowRep, our users, or the public, or (c) in connection with a merger, acquisition, or sale of assets, in which case we will notify you and any successor will be bound by this policy.
6. Your customers' contact data
When you upload contact lists to run review-request or referral campaigns, you are the controller of that data and GlowRep is your processor. We use those contacts only to send the campaigns you configure and to handle replies and opt-outs.
By uploading contacts, you confirm that you have the legal right and any required consent to contact those individuals, and that your messages will comply with applicable anti-spam and marketing laws (such as CAN-SPAM and, for text messages, the TCPA). Every campaign includes an unsubscribe/opt-out mechanism, and we honor opt-outs. You can ask us to delete uploaded contact data at any time.
7. Cookies & analytics
GlowRep uses a small number of cookies and similar technologies that are necessary to keep you signed in and to operate the dashboard. We do not use advertising or cross-site tracking cookies. Where we use analytics to understand product usage, we keep it limited to what we need to improve the Service.
8. Data retention
We keep your information for as long as your account is active and as needed to provide the Service. If you close your account, we delete or anonymize your personal information within a reasonable period, except where we must retain certain records (for example, billing and tax records) to meet legal obligations. You can request deletion sooner by contacting us.
9. Security
We take reasonable technical and organizational measures to protect your information, including encryption in transit, passwordless authentication, scoped secrets, and reputable infrastructure providers. No method of transmission or storage is perfectly secure, but we work to protect your data and to respond promptly if an issue arises.
10. Your rights & choices
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise any of these rights, email hello@glowrep.io and we'll respond within the time required by applicable law. You can also unsubscribe from non-essential emails using the link in those messages; we may still send you essential account and billing notices.
11. Children
GlowRep is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
12. International users
GlowRep is operated from the United States, and our service providers may process data in the United States and other countries. If you access the Service from outside the United States, you understand that your information may be transferred to and processed in the United States, where data-protection laws may differ from those in your country.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we'll update the "Last updated" date above and, where appropriate, notify you by email or in the dashboard. Your continued use of the Service after an update means you accept the revised policy.
